BankMobile is seeking an Office administrator to oversee the daily operations of the new office.  Our goal is to ensure all employees, visitors, and vendors have consistent, professional, and personable interactions while working at and with BankMobile. We want to exceed their expectations. We are looking for an outgoing, service-oriented individual to bring enthusiasm and ideas to our office. You will be a BankMobile ambassador as you will often be the first point of contact for our employees and guests. You will support the needs of the office, plan events, manage facilities and vendors, and support multiple special projects throughout the year. As the business continues to grow you will have the opportunity to grow and develop as well.


  • Welcome all internal and external visitors to our office with a professional and welcoming disposition while addressing their needs
  • Keep the office running smoothly and seamlessly in support of team members
  • Event Planning for all office functions including researching event ideas, venues, vendors and present them in a clear and easy to review fashion for monthly and quarterly employee social events; client events and annual corporate events
  • Create and maintain internal processes to improve efficiencies
  • Support management with administrative needs as necessary
  • Be the point of contact for all new employees after onboarding
  • Work in coordination with our nationwide offices and distribute office wide communications
  • Manage the physical office space by coordinating maintenance, managing security access, and other vendors as necessary to ensure the office space is clean and in good repair. This includes managing the property management portal for maintenance requests, maintaining furniture inventory and managing relationships with other external vendors as necessary
  • Execute ideas including managing the budget, reservations, and all event details from invitations, to travel, food and beverage, and decorations
  • Throughout the year you will work and cross train in all departments including human resources, recruiting, marketing, IT, etc. on special projects.
  • Provide on-going support with recruitment team
  • Assist with event deliveries, set-up, and clean-up
  • Coordinate space reservations and manage the office calendar in anticipation for A/V, catering, signage, and furniture set-up requirements
  • Own the kitchen including sourcing healthy snacks, stocking and managing inventory, and maintaining a clean and healthy environment
  • Build and maintain relationships with vendors and test new products
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
  • Completes a broad variety of administrative tasks including
    • Managing an extremely active calendar of appointments
    • Completing expense reports; composing and preparing correspondence that is sometimes confidential
    • Arranging complex and detailed travel plans, itineraries, and agendas


  • Bachelor’s degree
  • 1 to 4 years of experience in a professional setting
  • Highly motivated with a strong sense of ownership
  • Strong organizational skills that reflect ability to independently perform, prioritize and execute multiple tasks and complex projects seamlessly with competing priorities and deadlines
  • Thrives in collaborative, team environments
  • Ability to interact with all levels of professionals
  • Strong adaptability skills in ever changing environment
  • Proficient in Microsoft Office products and a willingness to learn more technology tools
  • Flexible with a willingness to jump in wherever required and manage multiple priorities at once
  • Excellent judgment, and decision making skills
  • Excellent written and verbal communication skills
  • Composure when faced with difficult or demanding situations and/or personalities and shifts in priorities and/or tasks
  • Willingness to flex hours as needed and be appropriately available outside of normal business hours as necessary
